Information for ePoster Presenters

Here are some important guidelines to read if your abstract has been accepted for ePoster presentation at the 37th Annual Meeting of the American Association of Clinical Anatomists to be held virtually, June 15 – 19, 2020. 

The process to confirm your acceptance and participate in the Annual Meeting is two-fold:

1. An email was sent from the abstract software, Planstone, to all accepted authors on Thursday, April 23.  This first email confirms the type of presentation your abstract was accepted for and contained a link for you to accept the request to present at the virtual meeting in June.  All abstract authors are to complete the link to confirm or deny their participation by May 1st.  Your abstract falls into two categories that are detailed in the letter/email: 1. It will be published in the conference program and is eligible for publication in Clinical Anatomy or 2. It is deemed ineligible for publication in Clinical Anatomy.  For those works that are eligible, the work will be published in Clinical Anatomy even if you do not participate in the virtual meeting.  Please do let us know if you DO NOT wish to have your work published.

2. After the author accepts the invitation to present, an automated email with the link to login to your speaker portal will be sent.  It is there that you will be able to upload your recorded presentation, as well as a photograph and a brief biography.  Step-by-step instructions on how to upload your files to the speaker portal are also on that email.

Your ePoster should be uploaded as a .PDF (no restrictions on size, the system adjusts to the file to fit the screen of the viewer).  Additionally, we encourage you to record audio regarding your ePoster (much like you would in person).  This audio should be no longer than 3 – 5 minutes
 
Your ePoster will be uploaded as a .PDF and the audio file should be uploaded separately.  To create an audio file, please reference this helpful document with a list of tips and options.  If you wish to do it in Zoom, here are step-by-step instructions.  Audio file should be in M4A format.

For your convenience, we have created a template for your ePoster.  Please use this when creating the ePoster.  
 
The ePoster presentations should be uploaded by Wednesday, June 3rd to Planstone.  That way, attendees can view them at their leisure throughout the week of June 15 – 19.  Each attendee will have the ability to review your work and provide feedback using an online form.  This feedback will be shared with you after the meeting.
